Professional Minute Taking

Professional minute taking is a vital organisational skill. When done well, minutes provide the official record that supports effective governance, accountability, and informed decision-making. When done poorly, they can create confusion, disputes, and unnecessary risk. This one-day course develops the practical skills required to produce clear, accurate, and professional minutes, designed for executive assistants, governance officers, committee clerks, administrators, and anyone responsible for documenting important meetings and decisions.

About the course

Course overview.

We cover the full spectrum of minute-taking contexts — informal team meetings, formal committees, board meetings, statutory and regulated meetings — with the conventions, language patterns and structural rigour each requires. Plenty of practice across the day on real meeting recordings, with peer feedback on what to capture and what to leave out.

Who it's for.

Executive assistants, PAs, governance officers, company secretaries' staff, committee clerks, charity trustees' secretaries and project managers who minute steering committees. Particularly useful for people new to formal minute-taking responsibilities, or experienced minute-takers preparing for more formal governance contexts.

What you'll learn.

01

Pre-meeting preparation

The work that determines whether the minutes will be good or merely accurate. Agenda review, papers familiarisation, terminology preparation, attendee list and the role-clarification conversation with the chair. The pre-meeting disciplines that distinguish professional minute-takers from amateur ones.

02

Capture technique — what to write, what to leave

The judgement call at the heart of the craft. Recording decisions vs discussions, the conventions for attributing views, action capture, the use of paraphrase, the language patterns for dissent and the practical disciplines (recording, real-time vs post-meeting writing-up) that get the balance right.

03

Drafting, approval and the formal contexts

Post-meeting drafting workflows, the chair-review discipline, the approval process at the next meeting, and the more formal conventions that apply to board minutes, statutory meetings, charity trustees, and regulated bodies — where minute-taking has legal as well as administrative weight.
